- QUESTIONS AND ANSWERS ABOUT PC-PROOF
-
- WHAT IS PC-PROOF?
- PC-Proof is a professional quality grammar checker that can detect many
- subtle and complex errors such as dropped words, extra words, or words
- that have been misspelled into another word. These are embarrassing
- errors that the other grammar checkers miss. It can also detect many
- other grammar errors including subject/verb agreement, missing
- articles, commonly confused words, double negatives, and passive voice.
- PC-Proof is compatible with WordPerfect, Word, Works, WinWord,
- ProWrite, PC-Write, WordStar and other word processors. Full mouse
- support is provided for the windows-like interface. Network support is
- also provided. If you've been waiting for a program that can actually
- check your grammar (instead of just your style), PC-Proof is the
- grammar checker for you. This ain't no style or readability checker,
- PC-Proof knows English! PC-Proof requires 275K of memory, DOS 2.1 or
- higher and a version 8.x mouse driver.

- HOW DO YOU USE PC-PROOF?
- To start PC-Proof, you need to type in the command "pcproof" at the
- directory prompt. After you start the program, you will see the main
- screen and a menu bar on the top line. This menu system is similar to
- many graphical interfaces. To activate the menus, you can use the
- mouse to point at menu items or you can press F10 to activate the top
- menu bar. You can also activate menu items by pressing the ALT key and
- the first letter of the menu item. For example, pressing ALT-F
- activates the Files menu. To select between items (such as buttons and
- checkboxes) in the dialog boxes, press the TAB key or point at each
- item with the mouse. To cancel any command, press the ESC key. You
- can also activate menus by pressing the highlighted shortcut key in
- each menu item. You can also use the mouse to click on the bottom
- status line to activate commands. Make sure that you has loaded the
- latest version of the mouse driver. PC-Proof may not work with older
- mouse drivers. To quit PC-Proof, you can use the "Exit" command or you
- can press ESC or ALT-X. Never quit PC-Proof by turning off your
- machine or rebooting.

- CAN I USE MY WORD PROCESSOR'S FILES?
- PC-Proof can read files created by WordPerfect 5.0+, Microsoft Word for
- DOS, Microsoft Word for Windows, Microsoft Works, Microsoft Write,
- Professional Write and other file formats which are mostly ASCII text
- such as PC-Write and WordStar. You should try PC-Proof with a file
- from your word processor to check if it works. If you give PC-Proof an
- unknown file format, PC-Proof will try to read only the text portion of
- the file. If you are checking a PC-Write file, you must select the
- "Use PC-Write or extended ASCII files" checkbox in the "Program
- Options" dialog (Press F4). You can also try this option if PC-Proof
- cannot normally read your word processor's file format. If you cannot
- get PC-Proof to read your word processor's file format, you will need
- to create an ASCII file from your word processor. Refer to the your
- word processor's manual on how to create ASCII files.

- HOW DO I START PROOFREADING A FILE?
- First, create a file in your word processor. Spell check your document
- if your word processor supports this feature. Save your file normally
- but make sure that the file has not been encrypted. PC-Proof cannot
- read encrypted files. If you are using Microsoft Word, make sure that
- the file is not fast-saved. Note the name and directory of the file
- that you saved. Quit your word processor.

- Start PC-Proof by typing "pcproof" at the DOS prompt. After PC-Proof
- starts, activate the "Files" menu by pointing and clicking on it with
- the mouse or by pressing ALT-F. A pull-down menu will give you two
- proofreading options. You can choose to "Interactively proofread" your
- document (press F1) or you can "Report Only" proofread (press F2).

- If your select the interactive option, PC-Proof will stop and display
- each sentence which might contain a grammar error. You can then
- proofread the sentence and decide if it is correct. The incorrect
- sentences are written to a problem report file.
-
- If you choose the report only proofreading option (press F2), PC-Proof
- will proofread the entire document without stopping. All of the
- suspect sentences will be written to a report file. The advantage of
- this method is that you can do something else while your document is
- being proofread. The disadvantage is that you will need to review both
- correct and incorrect sentences it the problem report and you can't use
- the on-line help provided in the interactive mode.

- After you have selected a proofreading method, a dialog box will appear
- that will allow you to enter the name of the file that you want to
- proofread. You can enter the name of the file directly or you can use
- the mouse or TAB/arrow keys to highlight one of the files displayed in
- the dialog box. You can also switch the directory by only typing in
- the directory instead of the filename.

- After you enter a file to proofread, you will be asked to confirm the
- name of the report file. All of the errors that you find with PC-Proof
- will be written to the report file for you to review later. The name
- of the report file is the same as your original file except that the
- file extension is changed to ".RPT".
-
- After you confirm the name of the report file, the proofreading process
- begins. The top part of the screen will show each word as it is being
- proofread. When PC-Proof finds an error, a short explanation is shown
- in the middle of the screen. Your proofreading options are displayed
- on the bottom.
-
- WHAT DO YOU DO WHEN PC-PROOF FINDS A SUSPECTED ERROR?
- When PC-Proof finds a suspected error, it will highlight the word near
- the problem and display a message indicating the nature of the problem.
- You should carefully read the entire sentence because the actual
- mistake can appear anywhere before or after the highlighted word.
- PC-Proof will also only report a single error per sentence. You need
- to read the entire sentence to make sure that there isn't another error
- in the sentence. if the explanation/advice message is difficult to
- understand, you can press F1 to get a more detailed explanation. A
- dialog box will appear on the bottom of the screen which allows you to
- take six options. Use the mouse to select a button or press the first
- letter of the button. Your options are:

- [1] FIND NEXT PROBLEM
-
- Don't do anything because the sentence is correct. Remember,
- it is up to you to decide if a sentence flagged by the
- program is actually wrong. Select this option if the
- sentence is correct.
-
- [2] REPORT THIS PROBLEM
-
- Write the incorrect sentence an an explanation of the error
- to a problem report file. If the sentence is wrong and the
- explanation of the problem makes sense to you, then select
- this option.
-
- [3] EDIT THIS SENTENCE
-
- Fix the incorrect sentence and recheck the sentence for
- errors. This option allows you to edit the incorrect
- sentence. The original sentence and the edited sentence are
- written to the problem report file. Your corrections are NOT
- made to he original file. If you are checking a WordPerfect 5.0,
- PC-Write or ASCII file, you will be able to modify the original
- file after you have finished checking the entire document.
- Otherwise you will need to use your word processor to make
- the changes again. HOWEVER, MODIFYING YOUR ORIGINAL FILE IS NOT
- RECOMMENDED! Formatting such as line length, page breaks and
- margins are not preserved in the edited sentences. It is a better
- idea to use your word processor to make a correction. You can
- use PC-Proof's TSR feature to swap between your word processor
- and PC-Proof.

- [4] COMMENT ON THIS SENTENCE
-
- Add your own comment about how to fix the problem. If the
- program finds a mistake, but the explanation is completely
- irrelevant or wrong, this option allows you to make a
- note for yourself about what needs to be changed. Your
- comment needs to contain enough information for you to
- correct the sentence later on.
-
- [5] IGNORE THIS KIND OF ERROR
-
- Ignore this type of problem from now on. The program can report
- over 40 different kinds of errors. Some of these errors such
- as 'commas needed for large numbers', which flags numbers like
- 39847, may not be important to you. Use this option to turn off
- error messages that are not important to you.
-
- [6] QUIT CHECKING FOR PROBLEMS
-
- Quit the program. If you decide that you do not want to check
- the rest of your document, select this option to quit.
-
- {NEW 2.0} If you choose to use the edit or comment options, PC-Proof
- presents a simple editor for you to use. It supports all of the
- standard editing keys. You can edit sentences up to 2,000 characters
- in length with up to 127 words. You can insert line breaks by just
- pressing the Enter key but automatic word wrapping is not supported.

- {NEW 2.0} When PC-Proof has completed checking your file, it will
- display some statistics about your file and it reports the approximate
- grade level of your file. This grade level is based on the Gunning Fog
- index and it represents the approximate education level which is needed
- to understand your document.
-
- {NEW 2.0} You can select to print the report file to your printer.
- You can then use this printed report to make corrections with your word
- processor. If your word processor can display more than one file at a
- time, you can load the report file into your word processor along with
- the original text file. This will allow you to view the problem report
- and your original text at the same time. Use the 'search' feature of
- your word processor to find and correct each error in the report file.

- If you selected to edit some of your sentences and you are using a
- WordPerfect, ASCII, or PC-Write file, you will be asked if you want
- your original file to be modified. {NEW 2.0} If you choose to modify
- your file, you will be prompted for the name of the modified file. If
- you choose to overwrite the original file, the original file will be
- renamed with the extension ".BAK". PC-Proof will then insert the
- changes into the file. When PC-Proof is finished, you can choose to
- delete the report file. When you modify your original document with
- PC-Proof, you must check for formatting changes since PC-Proof does not
- preserve the formatting on the edited sentences. Word spacing, fonts,
- page breaks and margins can be altered. You should always proofread a
- document before doing any complicated formatting.

- CAN I SKIP PROOFREADING IF I USE PC-PROOF?
- No, PC-Proof is not designed eliminate manual proofreading. There
- will always be some errors which cannot be detected by any grammar
- checking program. However, PC-Proof can help you by pointing out
- sentences that might contain errors. PC-Proof helps you to proofread.
- It does not replace proofreading.

- HOW ACCURATE IS PC-PROOF'S ADVICE?
- English is a very complex language that can be used in many different
- ways. Because of this, PC-Proof may not be able to precisely identify
- the error in a sentence. Therefore you should use the program's advice
- as a general guide to finding an error. You should first proofread the
- suspect sentence. If you can't figure out what is wrong, then you
- should look at the word that is highlighted and the message in the
- explanation/advice window. You can get additional advice by pressing
- F1. If is still looks correct, then it probably is correct. Don't
- spend time on sentences that look correct. PC-Proof will flag some
- perfectly correct sentences due to the complex nature of English.

- CAN I USE PC-PROOF WHILE I AM IN MY WORD PROCESSOR?
- {NEW 2.0} Yes, PC-Proof can be loaded as a TSR (Terminate and stay
- resident) program. This means that you can be in your word processor,
- hit a hot-key (ALT-G) and you will be switched to PC-Proof. By
- pressing the hot-key again, you will be switched back to your word
- processor. This makes it easy for you to switch to your word processor
- when PC-Proof finds a mistake. However, this advanced feature may not
- work with every word processor and computer configuration. For
- example, PC-Proof cannot run as a TSR with Microsoft Word 5.5.
- PC-Proof will also not work with programs which run in graphics mode.
- Do not attempt to load PC-Proof into high memory or use the TSR feature
- with other program switching software like Microsoft Windows. Please
- test the TSR feature before relying on it. You should make sure that
- you have backed up your hard-disk and recorded any important system
- configuration (CMOS) values before testing. If you cannot get PC-Proof
- to run as a TSR, you can still swap programs by using a program
- switching program like DESQView, Software Carousel or Microsoft
- Windows. Dos 5.0 users can use the DOSSHELL program to swap between
- applications. If you are having problems using the TSR feature, read
- the file HELPME.DOC for more help.

- HOW DO I LOAD PC-PROOF AS A TSR?
- To load PC-Proof as a TSR, you run it with the command line
- argument of "-tsr". For example, the following command will load
- PC-proof as a TSR program.
-
- pcproof -tsr
-
- You can include this command in your AUTOEXEC.BAT file if you always
- want PC-Proof to be loaded. PC-Proof will occupy about 11.2k of memory
- when it is loaded as a TSR and it cannot be loaded into high memory.
- After PC-Proof loads, it will display the currently selected hot-key
- combination and you will be returned to the standard DOS prompt. You
- may then start your word processor. You can switch back and forth
- between your word processor and PC-Proof by pressing the hot-key
- combination ALT-G. To unload PC-Proof from memory, select the "Exit"
- command in PC-Proof.

- WHAT OPTIONS CAN BE CHANGED?
- You can change PC-Proof's options by selecting "Options" in the main
- menu. You can switch on and off any of the program's error messages
- under the "Turn grammar rules on/off" menu command (Press F3). If the
- rule description displayed in the option page is confusing, press F1 to
- get an in-depth explanation of the message.

- Under the "Program Options" dialog box (press F4), you can select a
- default directory and you can change the color scheme to black and
- white if are using an LCD or monochrome monitor. You can also change
- PC-Proof's error sensitivity and you can select if you are checking a
- PC-Write document or a document which doesn't contain standard
- characters. {NEW 2.0} If you don't use the report file or you never
- want to change its default name, you can choose to not display the
- report file name confirmation dialog box. This will allow you to start
- your proofreading immediately after you have entered the name of the
- file. The last option allows you to slow the program down so that you
- can read along while PC-Proof is checking your document.

- {NEW 2.0} The "TSR" Options allow you to change how the TSR feature
- operates. If you do not have any EMS or XMS memory, PC-Proof creates
- a large 1.3 megabyte temporary file. This file is normally located in
- the same directory that you started PC-Proof with. However, you can
- change the name and location of this file to anything you want. If you
- have a RAMDisk, you might want to put the tempfile on the RAMDisk for
- extra speed. Just make sure that there is 1.3 MB available on the
- drive. If you have EMS or XMS memory, PC-Proof will use this memory
- instead of creating a temporary file. PC-Proof requires either 1.3MB
- of XMS memory or 700K of EMS memory. If you are having problems using
- this memory, you can choose not to use EMS or XMS memory in the TSR
- options. You can also select the hot-key combination. You can select
- any combination of shift keys along with any other key.

- {NEW 2.0} The "Color Options" allow you to change the screen colors.
- You may select different color combinations for the windows, menus,
- and dialogs. The color combinations are stored in the file PCPROOF.COL
- and you can erase this file if you want to reset the color scheme.
-
- HOW DO I CREATE MY OWN GRAMMAR RULES?
- In addition to the rules found in the options dialog, WinProof has a
- special class of rules that can be modified to suit your own needs.
- These rules belong to the custom rule class and you can recognize these
- rules in the explanation/advice window by the title "Custom rule
- number: ". These rules are found in a special file called PCPROOF.RUL
- in the WinProof installation directory. By modifing this file with a
- standard ASCII text editor like EDIT.COM included with DOS, you can add
- or delete custom rules. The custom rule class can detect any error
- that is signaled by particular sequence of words. Each rule takes one
- line in the file and can be up to 80 characters in length. The
- following are two examples of the rules that are included with
- WinProof:

- Corp \ ***This abbreviation requires a period. | Corp.
- a lot of \ *"a lot of" is informal. Try to reword the sentence.
-
- The first part of the rule contains up to four words to trigger the
- rule. This part of the rule is case sensitive, so be sure to use the
- exact case you want to detect in the rule. A backslash "\" character
- separates the trigger words from the error message. This is the
- message that is displayed in the explanation/advice window. The
- message begins with a sequence of up to three star "*" symbols to
- indicate the seriousness of the problem. If you want to suggest a
- replacement for the trigger words, place a bar character "|" (usually
- found on the same key as the backslash) after the error message
- followed by the replacement words. Make sure that you separate the "\"
- and "|" with spaces.

- An example of a custom rule might be that you want to detect when you
- use the word "manger" (a place where animals live) instead of the word
- "manager" (your boss). The line that you would add to the custom rule
- file would be:

- manger \ ***Check if you meant manager | manager
-
- If you want to turn off some of the custom rules, you can either delete
- the entire line that contains the rule or you can put a semicolon ";"
- at the beginning of the rule. All lines that begin with a semicolon
- are treated as comments and they are ignored. To find a rule in the
- custom rule file, refer to the custom rule number shown in the
- explanation/advice window. The number refers to the line that contains
- the rule. Lines that contain comments don't count so the rule number
- might not correspond to the line number in the rule file, but you can
- still use it as a general guide to finding a rule.

- HOW DO I SAVE AND RETRIEVE MY OPTIONS?
- You can save or retrieve your options under the options menu. The Save
- Options (press F5) command allows you to save your options. Your
- configuration file is normally stored in the directory that you started
- PC-Proof in. The Retrieve Options (press F6) command allows you to
- select a configuration file. PC-Proof includes several sample
- configuration files which have the file extension of ".CFG". For
- example, the file REVIEWER.CFG has all of the grammar rules turned on
- with maximum sensitivity. Use this configuration file for maximum
- error detection. The default configuration file NORMAL.CFG has some
- rules like 'passive voice' turned off. If you want PC-Proof to detect
- these problem, you must turn them on in the options menu. Experiment
- with the .CFG files to find the one that suits you the best. The
- configuration file which is being used is noted at the top of the
- option page. All of your options except for your color options are
- saved in the configuration file.

- WHAT IS THE ERROR SENSITIVITY OPTION?
- PC-Proof has two sensitivity levels for checking grammar errors. The
- normal setting is good for checking most documents. However, if you
- want to detect as many errors as possible, you can use the extra
- sensitive setting. This setting will find more errors. However, it
- will also present twice as many sentences for you to proofread. The
- extra sensitive setting will flag an larger number of correct sentences
- than the normal setting. However, if you need the highest grammar
- checking accuracy and are willing to proofread more sentences, you
- should use the extra sensitive setting.

- CAN I REPORT ERRORS THAT PC-PROOF DIDN'T CATCH?
- {NEW 2.0} If you are reading along with PC-Proof and spot an error
- that was missed, you can report this error by pressing any key to pause
- PC-Proof. When PC-Proof is paused, you can select to create a comment
- for the text displayed in the top window. The text and your comment
- are written to the report file for you to review later. You can also
- use the cursor keys to scroll backwards in the file. You can scroll
- up to 2,000 characters backwards. After you have made your comment,
- PC-Proof will resume proofreading where it left off. If your computer
- is too fast to read along with PC-Proof, you can slow PC-Proof down in
- the "Program Options" (Press F4) dialog box.

- HOW CAN PC-PROOF HELP TO REVIEW OTHER PEOPLE'S WRITING?
- {NEW 2.0} If you normally review other people's writing, it is
- difficult to provide them with feedback without obliterating the
- original printout with red-ink and post-it notes or modifying the
- original disk file. With PC-Proof, you can read along and place
- feedback comments in a report file by using the pause and comment
- feature. The original author can then review the report file which
- contains the text in question and your comments. PC-Proof provides a
- special configuration file named 'READONLY.CFG' which turns off all of
- the grammar rules if you only want to place your comments in a report
- file.

- CAN PC-PROOF HELP ME TO MANUALLY PROOFREAD?
- {NEW 2.0} Yes, even if you use PC-Proof, you will still need to
- carefully read and check everything you have written. If you use
- PC-Proof as a crutch instead of doing old-fashioned manual
- proofreading, your writing quality may actually decrease. There is
- still no substitute for the human eye. But PC-Proof can help you if
- you read along while PC-Proof is checking for errors. You can set
- PC-Proof's speed to a comfortable reading rate. PC-Proof will then
- display every single word in your document for your review. By pacing
- your reading rate, you are far less likely to skim past a careless
- writing mistake. PC-Proof also removes any extraneous formatting and
- graphics from your text. Remember, if it absolutely, positively has to
- be correct, you need to carefully proofread every word in your
- document. PC-Proof allows you to do this.

- HOW DO YOU MAKE PC-PROOF RUN FASTER?
- There are two things you can do to make PC-Proof run faster.
- 1. You can use a disk caching program like SMARTDRIVE.
- 2. You can load the entire program into a RAM disk.
- You will need about 1 Meg of RAM disk or disk cache. Registered
- users will receive an internal cache file that speeds up PC-Proof
- on short documents.

- CAN PC-PROOF USE COMMAND LINE ARGUMENTS?
- {NEW 2.0} Yes, PC-Proof supports several command line arguments which
- allow you to use the program in batch files or at the DOS prompt. You
- use these commands by placing them after "pcproof" when you start the
- program. Command line arguments can be preceded by either a dash "-"
- or a slash "/". The supported commands are as follows:

- Option Description

- <filename> If you start pcproof followed by the name of a file,
- PC-Proof will start an interactive check with the file.
- EXAMPLE: pcproof myfile.txt
-
- -h or -? Use either "-h" or "-?" to display help on using the
- command line arguments.
- EXAMPLE: pcproof -h

- -b The -b option allows you to run PC-Proof in batch file
- mode. This means that the program will run a report
- only check without any input from the user. You must
- provide a filename if you use this option.
- EXAMPLE: pcproof myfile.txt -b
-
- -r <reportname> The -r option allows you to specify the name of the
- report file. Follow -r with a space and the filename
- of the report.
- EXAMPLE: pcproof myfile.txt -r report.txt

- -c <configfile> The -c option allows you to select the program option
- (configuration) file.
- EXAMPLE: pcproof myfile.txt -c myconfig.cfg
-
- -tsr This option allows you to run PC-Proof as a TSR
- pop-up program.

- The command line arguments can be used in any combination in any order.
- EXAMPLE: pcproof myfile.txt -b -r report.txt -c myconfig.cfg
- This example will run pcproof in batch mode on the file "myfile.txt"
- with the report file "report.txt" with the configuration file
- "myconfig.cfg".

- WHAT KIND OF WRITING ERRORS ARE DETECTED BY THE PROGRAM?
- PC-Proof is primarily designed to detect unusual word usage errors.
- These errors include:

- 1. Accidentally leaving out a word - EXAMPLE:
- A teacher tried teach a difficult class.
-
- 2. Putting in an extra word - EXAMPLE:
- The those cars are good.
-
- 3. Misspelling a word into another word - EXAMPLE:
- I put the car it the garage.
-
- These are not subtle errors, but these are errors which can escape
- careful proofreading. By pointing out sentences which might contain
- these errors, the user has a better chance of finding and correcting
- them. PC-Proof is designed to catch these major mistakes rather than
- trying to find subtle writing style mistakes. PC-Proof can also detect
- many other types of errors. Use the 'Turn grammar rules on/off' menu
- item under the 'Options' menu to see the problems that PC-Proof can
- detect.

- HOW DOES PC-PROOF WORK?
- PC-Proof uses a unique, "molecular" parsing approach which represents
- a significant advance in language processing technology. This approach
- treats each word in the language like an atom which has particular
- attributes and binding characteristics. By applying relatively simple
- rules, it can bee determined if a set of words can combine to form a
- grammatical sentence. This process is similar to determining if a set
- of atoms can combine to form a molecule. This "molecular" technology
- is so unique that it has a patent pending. Intellect Systems has been
- developing this technology for over five years.

- CAN I USE PC-PROOF WITH MICROSOFT WINDOWS?
- You can easily use PC-Proof with Microsoft Windows 3.1. By using
- MS-Windows, you can run your word processor in one window, and PC-Proof
- in another. When PC-Proof finds a mistake, you can easily switch to
- your word processor to make the correction. The file PCPROOF.PIF has
- been provided for use with MS-Windows. In order to use the mouse in
- Windows 3.1, make sure to use the mouse driver that came with
- MS-Windows. Start the mouse driver before you start MS-Windows. You
- will be able to activate the menus just like any other MS-Windows
- application. PC-Proof is also available in a MS-Windows version.
- Contact your software distributor or Intellect Systems if you are
- interested in the Windows version (WinProof) rather than the DOS
- version (PC-Proof).

- CAN I USE PC-PROOF ON A NETWORK?
- PC-Proof can be used on a network. The evaluation version of PC-Proof
- will only allow one user to use PC-Proof at a time. You may order
- multiple-user versions of PC-Proof when you register. Network users
- should start PC-Proof from their personal directories and modify the
- PATH variable to include the directory where PC-Proof is installed. If
- a network user saves a configuration file, it will be saved in their
- own personal directory. This allows each user to have their own set of
- configuration files. If you are running PC-Proof under Microsoft
- Windows 3.1, you should specify your personal directory in the "Working

- WHY SHOULD I BUY PC-PROOF INSTEAD OF ANOTHER GRAMMAR CHECKER?
- PC-Proof is better than the competition because it can find complex and
- subtle grammar errors without overflagging correct sentences. Using
- their default settings, other grammar checkers will flag almost every
- single sentence in a document as having a problem even when there
- aren't any errors. On the other hand, PC-Proof flags very few correct
- sentences. For example, Intellect Systems tested the major grammar
- checkers with this documentation file PCPROOF.DOC which contains
- approximately 297 sentences. There were 19 errors placed in the
- documentation. Grammatik 5 reported approximately 250 problems in this
- document but only detected 13 of the errors. Correct Grammar 4.0
- reported 124 problems and detected 10 of the errors. RightWriter for
- Windows flagged 204 problems and detected only nine of the errors. All
- of the grammar checkers were configured with their default rule set
- with the spelling turned off. On the same text, PC-Proof detected all
- 19 errors and did not flag any correct sentences. This is a dramatic
- difference. This is only one example, but PC-Proof consistently flags
- fewer correct sentences and more incorrect sentences. If you only want
- to catch grammar errors and don't want to be bothered by style issues,
- the only grammar checker to use is PC-Proof.
